Frequently Asked Questions
Here you can find an overview of all frequently asked questions
What is Doqubox?
Doqubox is a secure way for organizations to request, receive, and send confidential documents. Your clients use a simple link in their browser, while your team keeps everything organized in one place.
Who is Doqubox for?
Doqubox is especially useful for organizations that regularly handle sensitive client documents, such as accountants, financial advisors, real estate agents, healthcare providers, and other professional services.
Why shouldn't I just send files by email?
Email attachments often remain in inboxes, backups, and forwarded messages. Doqubox gives clients a clearer channel and gives your organization more control over access, follow-up, and retention.
What does Doqubox improve for my organization?
You work more professionally, avoid loose attachments in mailboxes, and quickly see which documents have been submitted or are still missing. That saves follow-up time and gives clients more confidence.
Do my clients need to create an account?
No. Clients open a link, follow the steps, and upload or download documents. For extra assurance, Doqubox may ask for a verification code.
Is Doqubox easy for non-technical clients?
Yes. Clients do not need to install software and see a simple upload or download page. With document requests, you can clearly list exactly which files are needed.
How can I request documents from my clients?
Create a document request in Doqubox, list the files you need, and send the link to your client. You can then track the status and send reminders.
What is the difference between an upload link and a document request?
An upload link is useful as a general intake point, for example on your website or in your email signature. A document request is for asking one client for specific files.
Can I also send files to clients with Doqubox?
Yes. You can send confidential files securely. The client opens a download link and confirms access with a code by email or SMS, depending on your settings and plan.
Can I see whether documents have been received or downloaded?
Yes. Doqubox shows which documents came in and tracks when files were downloaded, so you spend less time checking manually.
How does Doqubox help with privacy and GDPR?
Doqubox helps you handle personal data more carefully by exchanging documents securely, limiting access, and not keeping files longer than needed. Your organization still needs the right internal processes.
How does Doqubox keep my data secure?
Doqubox combines secure links, verification codes, encryption, and automatic retention periods. That means documents do not arrive as ordinary mailbox attachments and access stays easier to control.
What does Doqubox do with my data?
Doqubox uses your data to provide the service: receiving and sending documents, giving users access, sending notifications, processing payments, and keeping the environment secure. Confidential files are not used for other purposes.
Can Doqubox view my files?
No. In secure document flows, files are encrypted in the browser. Doqubox does not process or store them as readable attachments.
What does end-to-end encryption mean at Doqubox?
It means documents are protected before they are sent and only become usable again for the right recipient. For you, that means sensitive files do not travel through the platform as readable attachments.
How long do documents remain available?
Documents remain available temporarily and are then automatically removed. The default retention period is 7 days, so sensitive files do not stay available longer than needed.
Why does Doqubox use passkeys instead of passwords?
Passkeys make signing in simpler and safer. You use the security already built into your device or password manager, such as fingerprint, face recognition, or PIN, without remembering another password.
What if my passkey or browser does not work?
Doqubox needs modern passkey support to open your account and encrypted access safely. If it does not work, try an up-to-date browser, another device, or a password manager with passkey support.
What happens if I lose my passkey?
Prefer a synced passkey provider and add a second trusted device where possible. If you lose all access, your organization or support will need to help with next steps.
Can I work with multiple colleagues in Doqubox?
Yes, plans with team features let you invite users. New users are approved first, so access to confidential documents remains controlled.
Can I customize Doqubox with my branding?
Yes. Depending on your plan, you can use your logo, brand color, custom upload domain, and custom sender address for client emails.
What does Doqubox cost?
Clients and recipients use Doqubox for free through the links they receive. Organizations choose a subscription based on the features they need, such as document requests, secure sending, team use, SMS verification, and custom domains.
How can I cancel Doqubox?
You can cancel Doqubox monthly from your account settings. Make sure important documents are completed or downloaded before retention periods expire.
What types of documents can I request with Doqubox?
You can request almost any client document, such as IDs, contracts, payslips, annual accounts, medical documents, mortgage files, or other confidential records.
How is Doqubox different from Dropbox, WeTransfer, Google Drive, or SharePoint?
Doqubox is built specifically for requesting and sending client documents. The focus is on clear client links, verification, retention periods, download status, and a professional experience for external contacts.
Can I use Doqubox with my existing website?
Yes. You can place your upload link on your website or share it through your own communication channels. With an eligible plan, you can also use a custom upload domain.
Can I put a secure upload link in my email signature?
Yes. That is a practical way to always give clients a secure intake route without creating a new request every time.
Can I use my own domain, such as upload.mycompany.com?
Yes, on plans that include custom domains. You configure the domain and activate it after the DNS settings have been validated.
Can client emails come from my own organization?
Yes, on plans with a custom sender address. You set up a DNS record so Doqubox can send trusted client emails on behalf of your domain.
Do I need IT knowledge to use Doqubox?
Not for daily use. Requesting, sending, and following up on documents can be done directly in the app. For custom domains or sender addresses, help from whoever manages your DNS can be useful.
How quickly can my organization start using Doqubox?
After registration and activation, you can start with the standard environment right away. Branding, custom domains, and custom sender addresses can be added afterwards.
What happens after a client uploads documents?
The documents appear in your inbox. You receive a notification, can open the files securely, and can see which documents have arrived.
Can I control who in my organization can see documents?
Access is managed through users and approval inside your organization. New team members do not automatically receive access to confidential documents.
What happens if a client uploads the wrong file?
You can ask the client for the correct document again. With a document request, the checklist helps make clear which files are needed.
Can I send reminders when documents are missing?
Yes. For document requests, you can send reminders so clients know which documents are still needed.
Can I see whether a client completed a request?
Yes. Doqubox tracks the status of document requests, so you can see whether a request is still open or completed.
What happens if someone forwards a link?
A forwarded link does not automatically provide full access. Depending on the workflow, Doqubox may require a verification code and documents remain available only for a limited time.
Why does a client sometimes need to enter a verification code?
A verification code helps confirm that the right person gets access to upload or download documents. That is especially important for confidential files.
Can I revoke a file after sending it?
Yes. Sent messages can be revoked while they are still active. The recipient will then see that the link is no longer available.
What happens when a download link expires?
The recipient can no longer open the files through that link. This prevents sensitive documents from staying available longer than needed.
Can I prove that documents were received or downloaded?
Doqubox records activity such as received documents and downloads. That gives you more confidence for follow-up and internal control.
How do I invite a colleague?
An admin can invite a user in Doqubox. The colleague then creates a passkey and is approved before access to confidential documents becomes available.
Where can I find received files?
Received documents are shown in the inbox. There you can open messages, download files, and view activity around a message.
Why can I no longer open a document?
Usually this happens because the retention period has expired, the message has been revoked, or your account does not yet have the right access.
Can I extend the retention period?
The retention period is part of your subscription settings. If you need a different retention period, contact us or check your subscription options.
How do I change my company name or language?
Admins can update company details and language settings from the settings page.
Why is my custom domain not active yet?
A custom domain only becomes active after the DNS settings are correct and Doqubox has validated them. DNS changes can take some time.
Why is my custom sender address still pending?
The sender address becomes active after the required DNS record is found and validated. Until then, the existing sender remains active.
Where can I find my invoices?
Admins can view and download invoices from the subscription and invoices area in Doqubox.
Why do I need to set up a payment mandate?
A payment mandate enables recurring billing and helps prevent access or processing from being interrupted by unpaid invoices.
